Pipeline Tracker: Never Lose A Lead Again

If you're taking our Client Magnet Challenge, you'll know that Tab 3 of your tracker is your “Pipeline.” At first, it might just look like a list of names, but it's designed to be your simple, no-fuss CRM.

The difference between a thriving freelance business and a struggling one often comes down to one thing: a reliable system for follow-ups. We've all done it – had a great chat with a potential client, got busy, and then realised a month later that we never got back to them. That's money left on the table.

Your Pipeline tab is designed to stop that from ever happening again. Here’s how to use it like a pro.

The ‘Status' Column is Your Snapshot This dropdown is your at-a-glance view of your entire sales process. Update it religiously.

  • New: You've identified them, but not yet contacted them.
  • Contacted: You've sent the first email.
  • Replied: They've responded! This is a hot lead.
  • Meeting Booked: You're moving to a real-time conversation.
  • Proposal Sent: You've officially pitched for the work.
  • Won / Lost: The final outcome. Tracking your losses is just as important as tracking your wins!

The ‘Next Action Date' is Your Real To-Do List This is the most important column on the sheet. It's your secret weapon.

Every time you interact with a prospect, ask yourself one question: “When do I need to do something about this next?”

  • Sent a first email? Set the Next Action Date for 3-4 days' time to follow up.
  • Got a reply saying “check back in a month”? Set the date for a month from now.
  • Sent a proposal? Set the date for a week's time to check in.

The Daily Habit At the start of every day, your first action should be to open this tab and sort it by the “Next Action Date” column. Instantly, you'll see everyone you need to contact today at the top of the list. No more guesswork. No more relying on your memory. It turns the chaos of your inbox into an organised, actionable plan.

This simple system, practised daily, is what will turn your initial outreach efforts into a predictable flow of new business.
